Booking Terms & Policies

Clear, fair terms for every safari, climb and holiday we arrange — please read them before you book.

Last updated October 2026
Before you book

These terms apply to all safaris, mountain climbs, day trips and holidays arranged by Genet Expeditions, a tour operator based in Moshi, Tanzania (“we”, “us”). By paying a deposit, you (“the lead traveller”) confirm that you have read and accepted these terms on behalf of everyone in your booking.

We have written them as clearly as we can. If anything is unclear, please ask us before you book.

  1. 01

    30% deposit

Your booking is confirmed when we receive a 30% deposit and send our written confirmation.

  2. 02

    Balance 60 days before

The balance is due 60 days before your arrival. Bookings made later are paid in full.

  3. 03

    Fair cancellations

Cancellation charges increase as your travel date approaches — see section 6.

  4. 04

    Insurance required

Comprehensive travel insurance, including evacuation, is a condition of every booking.

01

Your contract with us

Your contract is with Genet Expeditions. It begins when we have received your deposit and issued a written booking confirmation. Please check your confirmation carefully and tell us straight away if any detail — names, dates, services — is incorrect.

The lead traveller must be at least 18 years old and is responsible for making payments and passing on all information to the other travellers in the booking.

02

Quotes and prices

Our prices are quoted in US dollars, per person, and are based on the number of travellers, comfort level and dates in your quote. A quote is valid for the period stated on it and is subject to availability until you book.

Park, conservation, camping and concession fees are set by the Tanzanian authorities and are included at the rates in force when we quote. If the government introduces new fees, taxes or levies, or changes existing ones, before your travel date, we may pass the difference on to you; we will always explain any change in writing. Prices published on our website are indicative and are confirmed in your written quote.

03

Deposit and balance

  • A deposit of 30% of the total price is required to confirm your booking.
  • The balance is due no later than 60 days before your arrival date.
  • If you book within 60 days of arrival, the full price is due when you book.
  • Some services — such as domestic flights, peak-season lodges, gorilla or special permits, and festive-season bookings — may require a larger or earlier payment. We tell you in your quote if this applies.

If the balance is not received on time, we may treat the booking as cancelled by you and apply the cancellation charges below.

04

How to pay

You can pay by international bank transfer or by card (Visa, Mastercard and American Express). Bank charges, including intermediary bank fees, are your responsibility, and card payments may carry a processing fee, which we show before you pay. Please send us proof of each payment.

We will only ever ask you to pay into the bank account shown on our official invoice. If you receive a message asking you to pay into a different account, do not pay — contact us by phone first.

05

Travel insurance

Comprehensive travel insurance is a condition of booking. It must cover cancellation and curtailment, medical treatment, emergency evacuation (including by air) and repatriation for the whole of your trip. For Kilimanjaro, Mount Meru and other treks, it must cover trekking to the maximum altitude of your climb (up to 6,000 m). Please send us your policy details before you travel.

The Tanzanian authorities may also require visitors to buy government inbound travel insurance — currently in Zanzibar and, under regulations published in 2026, on the mainland. This is in addition to your own insurance and is not included in our prices unless your quote says so.

06

Cancellation by you

If you need to cancel, the lead traveller must tell us in writing. Cancellation charges are calculated from the date we receive your notice, as a percentage of the total price:

  • More than 60 days before arrival: loss of the deposit
  • 60 to 31 days before arrival: 50%
  • 30 to 15 days before arrival: 75%
  • 14 days or less, or no-show: 100%

Some services carry stricter terms set by our suppliers — for example domestic flights, permits and certain lodges during peak and festive periods. Where this applies, we tell you in your quote. Your travel insurance may cover cancellation charges in some circumstances.

07

Changes by you

If you would like to change your booking after confirmation — for example dates, names, accommodation or itinerary — please tell us in writing. We will do our best to help, subject to availability. Any extra costs charged by suppliers, and any difference in price, are payable by you. Reducing the number of travellers may change the price per person for those still travelling. A change of date close to departure may be treated as a cancellation.

08

Changes or cancellation by us

We plan carefully, but occasionally we may need to change part of your trip — for example if a lodge becomes unavailable, roads are closed or a flight schedule changes. If so, we will offer an alternative of a similar or higher standard at no extra cost, or a fair refund for the service that cannot be provided.

If we have to cancel your trip for reasons other than events beyond our control, you may choose an alternative trip or a full refund of the money you have paid us. We are not responsible for costs or compensation where changes or cancellations result from events beyond our control, such as extreme weather, natural disasters, epidemics, civil unrest, government action or the closure of parks or airports.

09

Safaris, wildlife and climbs

Wildlife is wild and moves freely. Our guides use their experience to give you the best chances, but sightings of particular animals, the Great Migration or river crossings can never be guaranteed.

On mountain climbs, your safety comes first. Reaching the summit cannot be guaranteed, and your lead guide may decide that you or your group must turn back or descend because of your health, the weather or other safety reasons; this decision is final. No refund is given for unused days on the mountain, but we will help you with any extra accommodation or transfers you need, at your cost unless your insurance covers it.

Please follow your guide’s instructions and the rules of the national parks and conservation areas at all times.

10

Your responsibilities

You are responsible for having a valid passport, the correct visas, any required vaccinations and certificates, and the documents needed for your trip. Please tell us before booking about any medical condition, disability, dietary requirement or other need that may affect your trip, so that we can advise you and make suitable arrangements; you must be fit enough for the activities you book.

We may refuse to continue providing services to anyone whose behaviour endangers or seriously disturbs others, breaks the law or park rules, or damages property, without any refund.

11

Children

Children are very welcome on most of our trips. Some lodges, camps and activities have minimum ages or special conditions, and child rates depend on age and room sharing; we confirm these in your quote. On Kilimanjaro, Tanzania National Parks sets a minimum age for climbing to the summit, and climbs with young people are planned with extra care. Children must be supervised by an adult at all times.

12

Our responsibility

We arrange your trip with care and select reputable lodges, airlines and other suppliers. Many services are provided by independent suppliers under their own terms and conditions. We accept responsibility for making sure that the services we have agreed to provide are delivered with reasonable skill and care. To the extent permitted by law, we are not liable for loss, damage, injury or delay caused by your own actions, by third parties unconnected with your trip, or by events beyond our control, and our liability is limited to the price of your trip, except where the law does not allow such a limit.

13

Concerns and complaints

If something is not right during your trip, please tell your guide or contact our office in Moshi straight away, so that we can put it right on the spot. If you remain unhappy, please write to us within 30 days of the end of your trip, and we will reply as quickly as we can.

14

Privacy

We use your personal information — such as names, contact details, passport details, health and dietary information — only to plan, book and operate your trip, to keep you safe and to meet legal requirements. We share it only with the lodges, airlines, park authorities and other suppliers who need it to provide your services. We never sell your information.

If you subscribe to our newsletter, you can unsubscribe at any time. You may ask us to see, correct or delete the information we hold about you, subject to our legal obligations, by contacting us. We handle personal data in line with Tanzania’s Personal Data Protection Act.

15

Photographs and reviews

Our guides may take photographs during your trip. We will only use photographs in which you can be recognised for marketing with your permission. Reviews you share publicly, for example on Tripadvisor, may be quoted on our website.

16

Law and jurisdiction

These terms are governed by the laws of the United Republic of Tanzania, and any dispute will be dealt with by the courts of Tanzania. Nothing in these terms affects any rights you have under the laws of your country of residence that cannot be excluded.
